Registrar & Administrative Assistant to Division Heads
St. Mark’s Registrar and Administrative Assistant to the Division Heads is a crucial position for the students, families, and faculty of St. Mark’s Episcopal School. While this position encompasses many different duties, its primary function is handling student records and assisting the division heads with the support needed to manage the operations of the three divisions’ school programs.
Duties:
Registrar
- Oversees Permanent Record management ensuring all records comply with state regulations and school privacy policies.
- Manages attendance, course scheduling, report cards and standardized test reporting in Blackbaud.
- Manages outgoing student records and recommendation requests.
- Maintains high school application and placement data for the school.
- Experience with various platforms such as Google Workspace and student information systems with the ability to generate queries and reports.
Purchasing
- Annual ordering, invoicing, and maintenance of supplies for classrooms, supply closets, lounges and school offices.
Administrative Assistant to Division Heads
- Organize, update, and maintain the school calendar.
- Serve as co-lead on the Logistics Team.
- Support Division Heads with the planning, communication, and execution of various divisional programs and events.
Other Duties
- Manage, train and assign substitute teachers.
- Assist with preparing, collating, and mailing communications.
- Assist in the front office and cover the front desk and phone as needed.
- Support other offices as needed during seasonal events.
- Attend and assist with divisional and all school meetings.
- Participate in professional development opportunities to support best practices.
- Other duties as assigned.
Physical Requirements and Work Environment
- Works in a sometimes highly stressful environment dealing with a wide variety of challenges.
- Ability to sit and stand for extended periods of time.
- Physical agility to lift up to 50 pounds; to bend, stoop, and reach overhead.
- Work primarily in a traditional climate controlled office environment.
